All-American Koi Show: Terms and Conditions

Event Overview

Participation Requirements

  • Eligibility: Participation is open to koi enthusiasts, Shinkokai koi dealers, suppliers, and related businesses.
  • Registration: All participants must complete the registration form and pay the applicable fee on or before February 11, 2025 or by designated due dates.
  • Fees: Booth fees and any additional costs are outlined in the registration form.

Booth Information

  • Booth Allocation: Booths will be assigned on a first-come, first-served basis. Special requests will be considered but are not guaranteed.
  • Setup and Dismantling: Setup time is Friday, March 28, 2025  from 8:00 am to 4:00 pm and must be completely set up by Saturday 8:00 am.
  • Booth Specifications: Each booth(Standard 10ftx10ft) includes a table, 2 chairs & 2 badges. Participants are responsible for their own display materials.

Conduct and Compliance

  • Code of Conduct: Participants must conduct themselves professionally and respectfully. Harassment, discrimination, or any form of disruptive behavior is prohibited.
  • Compliance: All participants must adhere to local regulations, including health, safety and tax

Insurance and Liability

  • Insurance: Participants are responsible for obtaining their own insurance for their booth, products, and personnel.
  • Liability: The organizer is not liable for any loss of fish, theft, or damage to participants’ property or for any injury incurred during the event.

Cancellation and Refunds

  • Cancellation Policy: Cancellations must be submitted in writing. Refunds will be issued based on the following schedule:
  • All cancellations are subject to a $500 cancellation fee. Refunds are 100% if the cancellation is made 30 days or more prior to February 11, 2025, and 50% if cancellation made 15 days or less prior to February 11, 2025. 
  • Any cancellations after February 11, 2025, will not be eligible for a refund.
  • Event Cancellation: If the event is canceled by the organizer due to unforeseen circumstances, booth and sponsorship payments will be transferred to the next show date for the same show city. No refunds will be issued.

Intellectual Property

  • Ownership: Participants retain ownership of their intellectual property. The organizer does not claim ownership of any trademarks, copyrights, or other intellectual property displayed at the event.
  • Permission: By participating, you grant the organizer permission to use images of your booth and products for promotional purposes.

Dispute Resolution

  • Resolution: Any disputes arising from participation will be resolved through arbitration.
  • Jurisdiction: These terms and conditions are governed by the laws of Clark County/Nevada.

Miscellaneous

Amendments: The organizer reserves the right to amend these terms and conditions at any time. Participants will be notified of any changes.
