AAKS 2025 Food Vendor Terms and Conditions

The following terms and conditions apply to all food vendors participating in the All-American Koi Show. By submitting this application, the vendor agrees to abide by these terms.

Vendor Responsibilities

  1. Food vendors must be present during the entire event from March 28-30, 2025 9:00am to 4:00pm, including setup and breakdown.
  2. Vendors are responsible for the setup, operation, and breakdown of their booths.
  3. Vendors are required to have their booths ready and operational at least 8:50am before the event opens to the public.
  4. Vendors must ensure that all food items are safely prepared, stored, and served in accordance with local health and safety regulations.

Booth and Space Requirements

  1. The vendor will be assigned a specific booth space, and the vendor is responsible for staying within the assigned space.
  2. The vendor must provide their own tables, tents, chairs, food trucks and any other necessary equipment unless otherwise specified.
  3. The booth size allocated will be  10×10 feet. If additional space is required, please request it in advance.

Permits and Licenses

  1. Food vendors must have all necessary licenses and permits to sell food at public events. This includes food handling permits, business licenses, and any other required documentation.
  2. Vendors must submit copies of their health department certifications and liability insurance certificate along with their application.
  3. All vendors must comply with all applicable federal, state, and local health and safety regulations.

Health and Safety

  1. Vendors must adhere to all safety protocols, including food temperature regulations and hygiene requirements.
  2. If food is being prepared onsite, vendors must have an appropriate food preparation area that meets health and safety standards.
  3. Vendors must have an accessible trash disposal plan for waste, including grease and used oil.

Insurance and Liability

  1. Vendors are required to provide proof of general liability insurance for the duration of the event.
  2. The vendor agrees to indemnify and hold harmless the All-American Koi Show organizers, sponsors, and venue owners from any and all claims, damages, or losses resulting from the vendor’s activities during the event.
  3. The All-American Koi Show is not responsible for any loss, theft, or damage to the vendor’s property during the event.

Fees and Payment

  1. A vendor fee of $550 must be paid in full upon registration.
  2. Payment can be made by wire transfer, check by mail, credit card (3.5% convenience fee).
  3. The vendor will not be permitted to participate in the event unless full payment has been received.

Refunds and Cancellations

  1. Vendor fees are non-refundable, except in the event that the All-American Koi Show is canceled by the organizers.

Booth Setup and Teardown

  1. Vendors must set up their booths on March 28, 2025 between 8:00am to 4:00pm.
  2. All booths must be fully set up and ready for operation by 9:00am.
  3. Breakdown of booths may begin at 2:00pm, but must be completed by March 30 nothing earlier than 4:00pm.
  4. Vendors are required to leave their assigned space clean and free of debris.

Conduct and Compliance

  1. Vendors must conduct themselves in a professional manner and adhere to the All-American Koi Show’s guidelines.
  2. The All-American Koi Show reserves the right to remove any vendor who is found to be in violation of these terms, without refund.

Cancellation of Event

  1. In the event of extreme weather conditions or unforeseen circumstances that force the cancellation of the All-American Koi Show, the vendor will be notified as soon as possible. In such cases, a refund will be issued for vendor fees if the event is cancelled before the start date.

The show will only provide 15 amp circuit for the power supply per food vendor.

All-American Koi Show will also not provide water. Every vendor will have to bring their own water supply.

Check by mail payments must be made to W. Lim Corporation for $550 and mail to 6365 W Elkhorn Rd., Las Vegas, NV-89131

In the beginning of the koi show each vendor will be given a tax slip that needs to be filled out and surrendered at the last day of the show for tax purposes, along with the amount declared for tax part base on total sales.
